Communications Coordinator

Communications Coordinator

Responsible for maintaining listserv, emailing community, and publishing and distributing the weekly PTO e-newsletter.

Room Parent Coordinator

Room Parent Coordinator

Responsible for organizing and assigning room parents to the classroom. Also responsible for instructing room parents on room parent guidelines and school policies as they pertain to the classrooms and class activities throughout the year.

Library Coordinators

Library Coordinators:

Works towards improving the Library/Media Center by assisting the librarian in checking out books, maintaining the collections, working on bulletin boards and display cases, and scheduling volunteer helpers.

Book Week Coordinators - OPEN

Book Week Coordinators:

Work with South School principal to plan and coordinate an annual Book Week event. Duties include soliciting community volunteer guest readers and creating promotional materials for the event. 

Kindergarten Liaison

Kindergarten Liaison

Acts as a resource for all incoming Kindergarten parents.  Coordinates activities ranging from the PTO’s role in Kindergarten Orientation, Annual Boo Hoo Woo Hoo, parent and child socials, and South School Kindergarten Facebook page.

Curriculum Enrichment Coordinator

Curriculum Enrichment Coordinator

Works closely with the PTO President and teachers at South to enhance the curriculum by providing activities that have a broad base in Science, English, the Arts, etc. Oversees grade level CE representatives and ensures the budget is adhered to. Submits events photos and descriptions to the President and the Digital Communications Officer for website and social media channels.

Parent Guide

Welcomes new families to South School, introducing them to the community and answering questions to aid in a smooth transition. Coordinates events for new parents.

Holiday Event Coordinator

Holiday Event Coordinator

Coordinates two to three holiday events each year. Past examples include ”Spread the Love ” and South School “Boo-Yah!” Leads a team of volunteers in all aspects of the events.

Teacher Appreciation Week Coordinator - OPEN

Teacher Appreciation Week Coordinator

With a team of volunteers, coordinate activities for Teacher Appreciation Week, the first week of May of each calendar year. Work with the PTO board to obtain prior approval and budgetary requests.

5th Grade Activities Coordinator:

Responsible for organizing and overseeing parent involvement for the fifth grade activities and projects.Coordinates a team of volunteers to lead Yearbook, Survivor Day, End of Year Party, and Fundraising.

Parent Social Coordinator - OPEN

Parent Social Coordinator

Coordinates two to three adult socials/fundraisers each year. Past examples include “Ain’t Your Mama’s Bingo” with DJ Edna, Oktoberfest, and a Comedy Night. Leads a team of volunteers in all aspects of the events.

Dine Out for South Coordinator

Coordinates two to three Dine Out for South fundraiser events each year. Past examples include Crack’d, Andiamo, Chipotle, and Bertuccis. Communicates all event information with the board to help publicize events. Responsible for writing thank you notes to all event hosts.

Half Day Event Coordinators - OPEN

Half Day Event Coordinators

Plans, coordinates, and markets fundraiser events with vendors (i.e. local businesses who will donate a portion of event proceeds to PTO).  Attends events and follows up with vendors for PTO donations.

Spirit Wear Coordinator - OPEN

Coordinates the sale and distribution of South School Clothing and accessories.

Spring Fling Coordinator

Spring Fling Coordinator

The lead volunteer establishes what the theme of the event will be and oversees the committee that runs the event. This includes but is not limited to overseeing the coordination of food and entertainment, managing the volunteers that will be running the activities at the event, and promoting the event.

Leads the committee that will run the Book Fair. This includes but is not limited to working with the book supplier, managing volunteers, and promoting the fair.

March Madness Coordinator

Coordinates all aspects of the annual March Madness fundraiser. This includes but is not limited to soliciting donations, purchasing items, managing volunteers, updating publicity materials and ticket purchase forms, and promoting all aspects of the event.

PTO Community Liaisons

ACE Liaisons

The Liaison is responsible for keeping the school posted regarding various events. In particular, they should work with the school and the PTO on the school’s annual Scarecrow Festival submissions.

SEPAC Liaisons

SEPAC Liaisons

Acts as link between parents of children of special needs, the PTO Board, and SEPAC; provides information and resource list to parents of children with special needs. The liaison is responsible for keeping the school posted regarding various SEPAC. events and upcoming speakers.

Parent to Parent Liaisons - OPEN

Parent to Parent Liaisons

Attends the board meetings of the Parent to Parent town-wide organization, which works to bring speakers and workshops to Andover to address various parenting issues. The Liaison is responsible for keeping the school posted regarding various events and upcoming speakers. They have the opportunity to preview potential speakers and workshop leaders, and help determine the following year’s calendar of events for Parent to Parent.

Parent representatives for each grade (one or two per grade) work closely with teachers in selecting and presenting sponsored activities. They also report to the Curriculum Enrichment Coordinator as necessary and work with the PTO Treasurer to request vendor payment. They are also responsible for submitting events photos and descriptions to the President and the Digital Communications Officer for website and social media channels.

Room Parents

Being a room parent is a fantastic way to get to know the children in class as well as other parents and your child’s teacher. Highlights and responsibilities include coordinating classroom parties, teacher gifts and class wide communications.  (one or two per class)

PTO Executive Board Positions

President

President

Provide oversight of all facets of the PTO organization, including but not limited to establishing the budget for the PTO, securing lead volunteers for the given school year, reviewing and approving all listserv announcements, and providing support the lead volunteers of the fundraising and the expenditure initiatives in an effort to raise the funds needed to subsidize such expenditures as Curriculum Enrichment, staff development, classroom supplies, etc. These initiatives include, but are not limited to those listed below.  Acts as direct liaison with the Communications Coordinator in providing content for the weekly PTO newsblast. Posts to all social media channels.  Maintains contact with the Executive Board and the school committee. Chairs all PTO meetings, both Executive Board and general meetings. Meets with principal regarding items and issues relating to PTO management and concerns. Attends, or appoints an attendee, for the monthly town wide PTO meetings. Position is a 2 year term.

Vice President

Attends monthly Executive Board and PTO meetings. The Vice President’s position is that of a general liaison, tracking various committee activities and assisting as required. Maintains close contact with the President and will assist the President as needed. Position is a 1 year term that typically feeds to the President position.

Treasurer

Treasurer

Attends monthly Executive Board and PTO meetings. Works with the President to set the PTO budget for the year. Receives, deposits, and keeps record of all moneys received for South School PTO. Pays invoices. Reconciles monthly statements. Maintains file of all invoices and reports. Oversees checking account. Maintains ongoing actual vs. budget position using Excel/Quicken or equivalent computer program. Member of the PTO Executive Board.

Shadows and assists the treasurer for a one-year term before taking on the role. 

Secretary/Clerk

Secretary/Clerk

Attends monthly Executive Board and PTO meetings. Takes minutes of all Executive Board meetings. Types and distributes the minutes to all board members for review. Types summary of general PTO meeting minutes for the PTO website.  ​Keeps a record pertaining to the organization (except Treasurer duties) for the current year. Monitors organization’s compliance with by-laws and Articles of Organization.

Chief Communications Officer

Chief Communications Officer

Attends monthly Executive Board and PTO meetings.   Responsible for driving participation, creating content for the PTO’s web site and digital channels, publishing the annual student directory (including working with school personnel to obtain current information from all families). Facilitates engagement with the PTO through the smart use of digital communications tools and technologies.
